For small-business admin

A short list of free prompts for the text side of running a small operation: sorting an inbox, writing a follow-up, turning notes into a weekly update, replying to a review, looking over a pricing setup, and comparing two versions of a document.

Each one asks you to paste your own notes, emails, or documents. The document comparison says it is not legal advice. The redaction prompt says to skim the result, because a small model can miss something.

  1. Offline email triage Local LLM (small models)
One line per email: urgent, normal, or low; whether a reply is needed; and a one-line summary. The model notes say to use a local model so the inbox stays private.
  2. Follow-up email after no reply Writing
Three follow-ups under 80 words: a friendly nudge, one that adds something useful, and a last check-in that makes it easy to say no. It rules out guilt-tripping and fake urgency.
  3. Cold email that doesn't sound like spam Writing
A cold email under 120 words to a role at a company, with what you offer, why them, and one ask. It gives two variants.
  4. Weekly status update Writing
Turns rough notes into a status update under 200 words: whether you are on track, what is done, what is next, blockers, and decisions you need. It says not to make the notes sound better or worse than they are.
  5. Reply to a negative review Marketing for indie makers
A public reply under 100 words that acknowledges the specific problem and does not promise refunds or changes that are not in the facts you provide. The model notes say to read the reply twice before posting.
  6. Summarise a long document for decisions Research
Summarises a document you paste for a decision you name: three bullets, facts with section references, risks, and what the document does not say. The model notes say to use a long-context model.
  7. What changed between two versions Research
Compares two versions of a document, quotes what changed, and flags shifts in rights, costs, obligations, or deadlines. The model notes say it is for terms, contracts, specs, and policies, and the prompt says this is not legal advice.
  8. Pricing page sanity check Marketing for indie makers
Critiques a pricing setup you paste: the value metric, whether a most-popular tier is clear, confusing limits, and the objection each tier will trigger. It suggests one simpler structure.
  9. Classify into fixed labels Local LLM (small models)
Puts one message into exactly one label from a list you supply. The reply is the label only. The model notes say it is meant for small models.
  10. Structured JSON extraction (small models) Local LLM (small models)
Pulls a name, email, company, and a short request out of a message and replies with JSON only.
  11. Redact personal info before sharing (small models) Local LLM (small models)
Rewrites text with names, emails, phone numbers, street addresses, and account or ID numbers replaced, and leaves the rest as it was. The model notes say to run it locally and skim the result, because small models can miss items.
  12. Customer support agent system prompt Agent system prompts & workflows
Standing rules for a support assistant: answer only from documentation you provide, say when it is unsure, and hand refunds, discounts, deadlines, and feature promises to a person.
